Job Description

Assist the Central Director of Revenue Management in the effective leadership and direction of the property revenue management practices and well as to directly oversee the reservations aspects of the department including all operational relationships and communications within the hotel. This position will oversee the Group Rooms Coordinators.

Responsibilities

    Maintain positive guest relations at all times.
  • Know and understand Opera PMS / ORS , reservations and group housing systems , Rooming List and Block Management , Third Party Housing Company Systems, and Hotel Operations.
  • Know and understand accounting procedures as pertains to the Reservations department and ensure SOP's are followed.
  • Ensure that Group Reservation Coordinators maintain/manage group blocks in a timely and accurate manner and ensure accuracy to the contract in hotel reservation and sales systems
  • Make / Change / Cancel reservations.
  • Liaise with Sales Team and Convention Services in coordinating group bookings.
  • Maintenance of group blocks to release room types not required as rooms pickup.
  • Upkeep and maintenance of complete detailed group files for all documentation regarding the group resumes.
  • Verify the VIP, ETA, billing, arrival and departure sates, room types based upon group resumes.
  • Ensure group blocks, group rooming lists, billing and cut off dates are maintained.
  • Ensure all group billing, routing, master accounts, A/R accounts are set in compliance with Omni SOP's.
  • Pre Block all groups needs for Luxury suites and suite connectors
  • Ensure all reservations received via regular mail, fax, or email are entered into the PMS accurately and in a timely manner.
  • Process and research travel agency commissions as needed.
  • Follow all Omni credit policies.
  • Report to the Central Director any changes in group pick up that would affect selling strategies.
  • Adhere to the selling strategies set by the Central Director.
  • Maintain group files according to group check list i.e. history, addendums, current contract, suites blocked, VIP's identified, etc.
  • Keep current knowledge of all packages and special promotions going on.
  • Complete Training for new and current associates.
  • Attend Revenue Merchandising, Resume/ Staff, Group Pick and Pre-Con meetings.
  • Attend department meetings and other required company trainings.
  • Ensure all Deposits are collected from groups
  • Process No-Show and Late Cancellation Fee
  • Complete 14 Day Operations Forecast and Update OnTrack
  • Ensure hotel inventory is consistently balanced at the direction of Revenue Management
  • Assist Central Director of Revenue Management with reporting
  • Manage and maintain Resort Pass
Qualifications
  • Must be able to perform the functions above, have excellent communication and guest services skills, be comfortable with computer systems and multi-line phones, and have team leadership skills.
  • Prior Hotel Front Office and/or Reservations experience strongly preferred.
  • Knowledge of Opera, IdeaS RMS, and FDC are preferred
  • Proficient in use of Microsoft Excel.
  • Understands Revenue Management theory and practice.
  • Comprehension of technical application of reservations system.
  • Appropriate professional appearance and demeanor
  • 1-2 years Leadership experience preferred
