Job Summary

The Office of Admissions, Records and Registration implements and monitors many academic and administrative policies in coordination with academic units, departments, colleges and the District Office to support faculty teaching and student learning. The office of Admissions, Records and Registration acts as the stewards of academic and student information, adapts operations to changing academic needs, federal, state and institutional policies and administrative processes for service improvements.

The Student Services Specialist Senior in Admissions, Records, and Registration is responsible for providing quality control and daily processing of all student records. This professional will implement process improvements and coordinate enrollment related functions to ensure compliance with administrative, Federal and State regulations. This professional must utilize independent judgement and decision making throughout their assigned duties. This position will support the Registrar and Associate Registrar with analysis and implementation of quality improvement throughout the lifecycle of the student. supporting students, staff, and faculty with more technically demanding duties related to Admissions, Records, and Registration.

Essential Functions

45% - Perform more technically complex functions related to admissions, records, and registration. Lead functions include but not limited to, graduation processing, athletic compliance, 3rd party enrollment, transcript evaluation, special admissions, and National Student Clearinghouse error resolution reports. Process incoming and outgoing documents related to all aspects of admissions, records, and registration. Understand, explain, and adhere to federal, state, and district rules and regulations

25% - Monitor quality assurance to ensure accuracy of completed transactions. Monitor/support, phone, email, and chat-related services. Provide ongoing training to department staff. Coordinate and maintain admissions, records and registration, reports, spreadsheets, databases, documents, and service account correspondence between students, faculty, and staff. Assist with enrollment-related projects, systems testing, and SIS training, including processing of documents and coordination of office workflow

20% - Supports the Admissions and Records department by providing services to students and prospective students, project deadlines, and department goals. Troubleshoots software and responds to issues and complaints. Responsible for updating enrollment records and correcting error reports. Process dynamic forms including but not limited to residency, domicile, special admissions and compassionate withdrawal. This position interacts with a diverse population of students, staff, faculty, administrators, and the public

10% - Assist with the department workflow, assigning staff to alternative job functions according to the needs of the business. Compiles and prepares data for supervisor and other duties assigned by the Director/Manager of Admissions and Records

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Bachelor's degree from a regionally accredited institution
  1. Two (2) or more years of experience working in a postsecondary educational institution using a student information system or related records database
  1. Two (2) years of experience assisting or coordinating the operations of a customer service area providing support in various modalities (i.e. phones, chats, email, in-person.)
  1. Two (2) years of experience creating and/or maintaining documents in Microsoft Office Suite and/or Google Suite (such as document, spreadsheets, and presentation slides)
  1. Two (2) years of experience providing one-on-one and/or group training, such as delivering presentations
  1. One (1) year of experience using reports and data to monitor the quality of work, and adherence to rules/regulations


Special Working Conditions

  • Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving:
  • Travel to campus during interview/selection process will be at candidate's own expense
  • May be required to travel or be assigned to all MCCCD locations
  • May require numerous evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to 25 lbs
